1) Scope

This Privacy Policy explains how COLLABORATIVE PSYCHIATRY PLLC (“we,” “us,” or “our”) collects, uses, discloses, and protects information when you use Collaborative Psychiatry and our related services, including courses, private podcast feeds, downloads, and CME offerings (the “Services”). By using the Services, you consent to this Policy.

2) Information We Collect

  • Account & Profile: name, email, password (hashed), profession, organization (optional).
  • Transactions: purchase history, subscription status, last 4 digits of card (via processor), billing ZIP.
  • Usage & Device Data: IP address, browser type, pages viewed, referring/exit pages, timestamps, approximate location (city/region).
  • Course/CME Activity: modules accessed, progress, completion, quiz outcomes, evaluations (when applicable).
  • Communications: emails, support messages, newsletter preferences.

Note on PHI: We do not request or store Protected Health Information (PHI). Do not submit patient‑identifying information through the Services. If such information is inadvertently received, we will delete it when discovered.

3) How We Use Information

  • Provide, maintain, and improve the Services.
  • Process purchases and manage subscriptions.
  • Deliver educational content, including private podcast feeds (if applicable).
  • Administer CME participation, post‑tests, evaluations, and certificates via accredited partners.
  • Communicate about updates, features, support, and marketing (you can opt out of marketing).
  • Detect, prevent, and address fraud, misuse, and security incidents.
  • Comply with legal obligations and enforce our Terms.

4) Legal Bases (EEA/UK)

Where GDPR/UK GDPR applies, we rely on: (a) contract (to provide Services you request), (b) legitimate interests (to improve and secure Services), and (c) consent (for marketing/cookies where required).

5) Sharing & Disclosure

We share data with service providers that help operate the Services, under contracts limiting their use of your data, including:

  • Payments: Stripe (or similar).
  • Membership/LMS: MemberPress, LearnDash (or similar).
  • CME Partner: PeerPoint Medical Education Institute (for credit issuance).
  • Analytics/Performance: Plausible Analytics, server logs, error‑monitoring tools.
  • Email/CRM: MailerLite
  • Podcast Hosting: Castos.

We may disclose information to comply with law, protect rights and safety, or in connection with a merger, acquisition, or asset sale.

We do not sell personal information and we do not share personal information for cross‑context behavioral advertising as defined by the California Consumer Privacy Act (CCPA/CPRA).

6) Data Retention

We retain personal data for as long as necessary to provide the Services and for legitimate business needs:

  • Account & course records: while your account is active plus 3 years after last activity.
  • Transaction records: 7 years for tax/audit.
  • CME records: as required by the accredited provider.
  • Support emails: 2 years.

7) Your Choices & Rights

  • Marketing opt‑out via unsubscribe link.
  • Cookies: see Cookie Policy.
  • Access/Deletion/Correction: Email collabpsych@collaborative-psychiatry.org. If you are in the EEA/UK/California, you may have additional rights (access, deletion, correction, portability, restriction, objection). We will verify your request and respond within required timeframes.

8) Security

We use administrative, technical, and physical safeguards appropriate to the nature of the data (e.g., TLS, limited access, hashed passwords). No method of transmission or storage is 100% secure.

9) International Transfers

If you access the Services from outside the U.S., your data may be processed in the U.S. and other countries. We use appropriate safeguards where required.

10) Children’s Privacy

The Services are not directed to children under 13 (or under 16 in the EEA). Do not use the Services if you are under the applicable age threshold.

11) Changes to This Policy

We may update this Policy from time to time. The date at the top shows the effective date of the most recent changes. If we make material changes, we will provide notice as required by law.
